ProBPR Zoom Integration Guide

Prerequisites

• An active ProBPR provider account.
• A ProBPR user with permission to manage the provider's integrations and events.
• An active Zoom account that the provider is authorized to connect.
• The Zoom user authorizing ProBPR must have the Zoom permissions required for the features the provider intends to use.
• Creating a meeting requires an available Licensed Zoom host in the connected Zoom account.
• If the Zoom account requires Marketplace pre-approval, a Zoom account owner or Marketplace administrator may need to approve ProBPR before authorization can be completed.

Adding the App

Use case: Connect the Zoom account that your organization will use for ProBPR educational events.

Prerequisites: Complete the prerequisites above and make sure you are signed in to the correct ProBPR provider account.

1. Sign in to ProBPR.
2. Open Settings → Integrations → Zoom.
3. Click Connect Zoom.
4. ProBPR redirects you to Zoom's authorization page.
5. Sign in to the Zoom account that should be connected to this ProBPR provider.
6. Review the permissions requested by ProBPR and approve the authorization.
7. Zoom redirects you back to ProBPR.
8. Confirm that the Zoom integration page shows the connected account.
9. Click Check connection if you want to run the available OAuth/API diagnostics.

Using the App

Check the Zoom connection

Use case: Verify the integration after first authorization, after Zoom permissions/scopes change, or when a Zoom API action reports an error.

Prerequisites: Zoom must already be connected to the ProBPR provider.

1. Open Settings → Integrations → Zoom.
2. Click Check connection.
3. Review the OAuth/API, Zoom users and meeting diagnostics shown by ProBPR.

Refresh Zoom users / hosts

Use case: Refresh the list of Zoom users available to ProBPR after a user, license or account setting changes in Zoom.

Prerequisites: Zoom must be connected. Access to the full account user list depends on the permissions granted to the ProBPR Zoom app and the authorizing Zoom user.

1. Open Settings → Integrations → Zoom.
2. Click Update Zoom users.
3. Confirm that the required Licensed host appears in the synchronized user list.

Create a new Zoom Meeting for a ProBPR event

Use case: Create a meeting directly from an event so the meeting date, time and duration can be managed with the event workflow.

Prerequisites: Zoom must be connected, the event must exist in ProBPR, and an available Licensed Zoom host must be synchronized.

1. Open the required event in ProBPR.
2. Open the event's Integration section.
3. In the Zoom area, choose Create a new Meeting.
4. Select the required Licensed Zoom host.
5. Click Create Zoom Meeting.
6. Confirm that ProBPR shows the linked meeting and current meeting state.

Link an existing Zoom Meeting

Use case: Use a meeting that was created in Zoom before the ProBPR event was configured.

Prerequisites: Zoom must be connected. The meeting must be accessible through the connected Zoom account and its host must belong to that account.

1. Open the required event in ProBPR.
2. Open the event's Integration section.
3. Enter the Zoom Meeting ID or the Zoom meeting link.
4. Click Check and link.
5. ProBPR verifies the meeting through the Zoom API before linking it to the event.

Update a linked meeting from the ProBPR event

Use case: Apply the current event title/date/time/duration to an already linked Zoom meeting.

Prerequisites: A Zoom meeting must already be linked and the connected account must have the required meeting-management permission.

1. Open the event's Integration section.
2. Review the linked Zoom meeting.
3. Choose Update Zoom from event data and confirm the action.

Synchronize eligible participants as Zoom registrants

Use case: Give confirmed ProBPR participants their individual Zoom registration access without manually entering each participant in Zoom.

Prerequisites: A meeting must be linked, Zoom registration must be supported for that meeting, and the app must have the required registrant permissions. ProBPR synchronizes only participants who are eligible for access according to the event's ProBPR registration/payment state.

1. Open the event's Integration section.
2. In Zoom participants, click Enable automatic registration.
3. ProBPR processes synchronization in the background.
4. Use Synchronize now when you need an immediate reconciliation.
5. Review synchronized, pending and error counters in the event integration screen.

When a canonical ProBPR registration is cancelled and later restored, ProBPR reconciles the corresponding Zoom registrant state instead of treating every state change as a new unrelated participant.

Start or monitor a meeting

Use case: Let an authorized provider user check the current meeting state and request the host start action when needed.

Prerequisites: A meeting must be linked and the connected Zoom authorization must still be valid.

ProBPR reads the current meeting state through the Zoom API. A host start URL is requested only when an authorized provider user explicitly starts the meeting; ProBPR does not use the host's Zoom password for this action.

Synchronize attendance

Use case: Reconcile Zoom participation with the corresponding ProBPR event for attendance/eligibility workflows.

Prerequisites: The linked meeting must have ended, the required Zoom attendance/report permissions must be granted, and participants must be identifiable against the ProBPR event.

Attendance synchronization is performed by ProBPR for the related event and can be retried when Zoom temporarily delays the required meeting/report data.

Synchronize cloud recording metadata

Use case: Make an eligible Zoom cloud recording available to the event workflow without exposing a raw download URL to the listener.

Prerequisites: The Zoom account/meeting must support cloud recording and the required cloud-recording permissions must be granted to the ProBPR app.

After the meeting ends, ProBPR can synchronize recording metadata and safe playback information for the event. Availability depends on Zoom account capabilities and the permissions granted during OAuth authorization.

Troubleshooting

If the issue remains, create a support case and include your ProBPR provider name, the affected event and the Zoom account email. Do not send Zoom passwords, OAuth access tokens or refresh tokens.

Disconnecting Zoom from ProBPR

Use case: Stop ProBPR from using the connected Zoom authorization and remove the locally stored OAuth connection credentials for that provider.

Prerequisites: You must be signed in to ProBPR with permission to manage the provider's integrations.

1. Sign in to ProBPR.
2. Open Settings → Integrations → Zoom.
3. Click Disconnect Zoom.
4. Confirm the action.

ProBPR attempts to revoke the current Zoom access token, marks the provider's Zoom connection as disconnected, clears the encrypted OAuth credentials stored for that connection, and removes the locally synchronized Zoom users/host list.

Disconnecting does not automatically delete Zoom meetings that already exist in the provider's Zoom account. It also does not delete ProBPR business records such as events, registrations, orders, tests or certificates.

Removing the App from your Zoom account

Use case: Remove ProBPR authorization from Zoom App Marketplace so the app can no longer act with that Zoom authorization.

Recommended: You may disconnect Zoom in ProBPR first using the steps above. If you remove the app in Zoom first, you can still return to ProBPR and use Disconnect Zoom to clear the local ProBPR OAuth connection data.

1. Sign in to the Zoom App Marketplace.
2. Click Manage in the upper-right area.
3. Open Added Apps.
4. Find ProBPR.
5. Click Remove.
6. Select a removal reason if Zoom asks for one.
7. Click Remove again to confirm.

Implication of deauthorization: after ProBPR is removed/deauthorized in Zoom, the previous Zoom authorization can no longer be used for Zoom API actions. Meeting creation, meeting updates, registrant synchronization, attendance synchronization and other Zoom-dependent actions require the app to be authorized again.

To use the integration again later, return to Settings → Integrations → Zoom in ProBPR and complete a new Zoom authorization.

Deauthorization, data removal & security

What ProBPR removes when you disconnect Zoom

• The encrypted OAuth access/refresh credentials stored for the provider's Zoom connection are cleared.
• The locally synchronized Zoom users/host list for that provider is removed.
• The connection is marked as disconnected and ProBPR stops using that authorization.

What is not automatically deleted by disconnecting the integration

• Meetings that already exist in the provider's Zoom account are not deleted by ProBPR merely because the integration is disconnected.
• ProBPR records that belong to the provider's own BPR workflow — such as events, participant registrations, orders, tests, certificates and required business/audit records — remain subject to the ProBPR account and applicable retention rules.

Security

• OAuth authorization occurs on Zoom; ProBPR does not receive the user's Zoom password.
• OAuth tokens stored by ProBPR are encrypted at rest using the platform's protected integration storage.
• ProBPR uses Zoom data only for the integration functions enabled for the connected provider and permitted by the granted Zoom scopes.
• A fresh host start URL is requested only when required by an authorized provider action and is not treated as a permanent ProBPR credential.
